Job Summary
We are seeking a detail-oriented and organized Property Management Administrative Assistant to support our property management team with essential administrative tasks. The ideal candidate will be responsible for managing lease agreements, tenant documentation, and ensuring smooth onboarding and offboarding processes. Proficiency in Appfolio and Microsoft 365 is required for daily operations.
Key Responsibilities
Contract Management: Maintain and organize all property management contracts, ensuring compliance with company policies.
Lease Document Preparation: Draft, review, and process lease agreements and amendments accurately.
Tenant Onboarding/Offboarding: Handle documentation and administrative tasks related to new tenant move-ins and move-outs.
Document Organization: Maintain an efficient digital filing system for all property-related documents.
Lease Renewals: Track lease expiration dates and assist in the renewal process by preparing necessary documentation.
Database Management: Keep property management software (Appfolio) updated with tenant and lease details.
General Administrative Support: Assist with email correspondence, scheduling, and other administrative tasks as needed.
Qualifications
Prior experience in property management administration or a related field.
Proficiency in Appfolio and Microsoft 365 (Outlook, Word, Excel, SharePoint, and Teams).
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Attention to detail and ability to handle confidential information.
Ability to work independently and meet deadlines in a remote setting.
Preferred Qualifications
Experience with lease administration and tenant coordination.
Knowledge of real estate or property management industry regulations.
Prior experience working in a remote or outsourced administrative role.
