We’re seeking a talented Personal/Executive Assistant to join our team in a hybrid role, where you’ll be providing essential support to ensure smooth functioning across all areas of our business and personal affairs.

The right person must have strong research skills, speak fluent English, and be an impressive all-rounder with a wide variety of applicable talents.

What you’ll be doing:

As Personal/Executive Assistant to our CEO, you’ll be instrumental in managing a wide range of tasks, balancing both executive and personal responsibilities.

  • Conducting follow-ups on action items from meetings and ensuring deadlines are met.
  • Making calls, scheduling appointments, and booking various services.
  • Monitoring and managing emails, prioritising correspondence effectively.
  • Managing company phone lines during working hours, maintaining professionalism.
  • Research and outreach for a wide range of executive needs.
  • Researching and booking travel arrangements, ensuring smooth logistics.
  • Handling outreach activities for both business and personal purposes.
  • Keeping accounting records in Xero up-to-date and assisting with financial tasks, including managing and sending out invoices, keeping cash flow spreadsheet up to date, including adding up the VAT payments and updating weekly.
  • Handling confidential and sensitive information with the utmost discretion and professionalism.
  • Creating and editing documents with a keen eye for detail and quality.
  • Conducting research and competitor analysis to support strategic decision-making.
  • Performing marketing research to identify trends and opportunities.
  • Creating job postings and coordinating initial meetings with potential candidates.
  • Anticipating the needs of executives and proactively providing support to enhance efficiency.
  • Undertaking other ad hoc tasks as they arise, demonstrating flexibility and initiative.
  • Coordinating executive calendars, scheduling meetings, and managing appointments with precision.

What you bring to the table:

  • 3+ years of proven experience in a similar role, preferably as a Personal Assistant or Executive Assistant.
  • The ability to work remotely and independently, or in a hybrid capacity.
  • Strong organisational skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent time-management abilities, ensuring deadlines are consistently met in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with a keen attention to detail.
  • High level of discretion and confidentiality when handling sensitive information.
  • Strong research skills, with the ability to gather and analyse data effectively.
  • Ability to adapt quickly to changing priorities and demonstrate flexibility in approach.
  • Proactive problem-solving skills, with a resourceful and solution-oriented mindset.
  • Strong interpersonal skills, with the ability to build and maintain relationships at all levels.
  • A positive attitude and willingness to go above and beyond to support the team and achieve objectives.
  • Proficiency in Google Suite (e.g. Docs, Sheets, Slides) & Microsoft Office Suite (e.g. Word, Excel, Powerpoint, etc).
  • Experience with accounting software (e.g.TransferWise, Xero) preferred.
  • Experience with project management tools (e.g. Monday.com, Teams, Slack) preferred.
  • Graphic design, marketing, copywriting, and other relevant skills are all pluses.
