Reports To:
CEO, The Well & Co

About The Well & Co:
The Well & Co is a dynamic, purpose-driven organization that operates across high-impact sectors including healthcare, support services, and digital innovation. We are focused on sustainable growth, operational excellence, and community empowerment—combining the agility of a startup with the precision of an established enterprise.

The Opportunity:
We are seeking an exceptional Executive Assistant to serve as a strategic partner to our CEO. This role goes beyond conventional administrative support; it is about transforming high-level ideas into actionable plans, enforcing operational discipline, and safeguarding the CEO’s focus. The ideal candidate is a proactive, systems-oriented operator with outstanding communication skills, high emotional intelligence, and a deep commitment to achieving excellence.

Key Responsibilities:

  • Strategic Execution:
  • Translate visionary strategies into detailed, actionable plans and workflows.
  • Develop, document, and continually refine Standard Operating Procedures (SOPs) to support scalable operations.
  • Track deadlines, follow-ups, and team deliverables to ensure consistent progress.
  • Executive Support and Time Management:
  • Manage a complex calendar and coordinate high-level meetings, travel, and logistics with precision.
  • Act as a gatekeeper by filtering communications and requests so that only high-impact priorities reach the CEO.
  • Maintain an organized workflow to protect the CEO’s focus and ensure uninterrupted strategic leadership.
  • Communication and Liaison:
  • Serve as the primary conduit between the CEO and the organization, ensuring clear and efficient information exchange.
  • Synthesize complex meeting content and data into executive summaries, presentations, and reports.
  • Facilitate cross-departmental alignment and foster a culture of transparent, results-driven communication.
  • Project and Process Management:
  • Lead special projects from conception through execution using data-driven decision-making to optimize outcomes.
  • Utilize productivity tools (e.g., Google Workspace, HubSpot, project management platforms) to streamline operations.
  • Oversee and continually improve internal processes, ensuring accountability and clarity throughout the organization.

Required Qualifications:

  • A minimum of 5+ years of experience in executive support, operations management, or a similar role within a fast-growing, high-performance environment.
  • Demonstrated success working directly with C-suite executives, particularly in settings demanding rapid decision-making and agility.
  • Advanced proficiency with remote work tools, digital calendars, communication platforms, and project management software.
  • Excellent written and verbal communication skills in English.
  • Proven ability to develop and implement robust operational systems that drive efficiency and accountability.

Personal Attributes and Ideal Candidate Profile:

Perfect Fit Candidates Will Have:

  • A structured, detail-oriented, and process-driven mindset that turns visionary ideas into measurable actions.
  • A proactive, independent approach with the ability to anticipate needs and resolve problems before they escalate.
  • High emotional intelligence and resilience under pressure, ensuring calm and effective crisis management.
  • A strong sense of accountability, with the capacity to enforce deadlines, support team alignment, and maintain operational clarity.
  • A collaborative yet decisive nature, thriving in a culture that values transparency, direct communication, and high expectations.
  • A commitment to the core values of stewardship, excellence, and community impact, acting as a cultural ambassador within the organization.

Candidates Who Would Not Fit in This Role:

  • Individuals who prefer a reactive work style or require constant guidance, as this role demands high initiative and autonomous decision-making.
  • Those uncomfortable with working in a fast-paced, ever-changing environment with shifting priorities.
  • Candidates with a low tolerance for accountability or those who consistently struggle to meet deadlines and maintain structured processes.
  • Individuals who avoid addressing difficult conversations or shy away from confronting performance or process issues.

Additional Performance Incentive:
High-performing candidates will have the opportunity to travel to one of our global headquarters (Philippines, Indonesia, South Africa, or Australia) based on performance. This benefit is designed to foster face-to-face collaboration, enhance global team integration, and support professional development.

What We Offer:

  • Direct access to and collaboration with an innovative, visionary CEO committed to transformational growth.
  • A high-performance environment where operational excellence and disciplined execution are foundational.
  • Opportunities for career advancement into senior operations roles, with an emphasis on leadership development.
  • A competitive compensation package, including performance-based incentives and travel benefits for top performers.

How to Apply and Our Process:

Application Submission: Submit your resume and a cover letter outlining your key achievements in streamlining operations and optimizing executive workflows. Please include specific examples or brief case studies demonstrating your ability to develop scalable systems.

Initial Screening – Video Interview: Shortlisted candidates will be contacted to complete a video interview through xInterview.com. This pre-screening stage uses targeted questions to assess your systems thinking, problem-solving skills, and cultural fit with our high-performance environment.

Live Simulation Exercise: Successful candidates from the video interview stage will be invited to participate in a live simulation exercise. In this session, you will be assessed on your ability to manage dynamic priorities, translate strategic directives into actionable plans, and maintain composure under pressure. The simulation will mimic real-world challenges within our organization to evaluate your operational efficiency and decision-making process.

Final Stage Interview: Candidates who excel in the live simulation will advance to the final stage interview. This will be a face-to-face (or virtual) interview with the CEO and senior leadership, focusing on cultural fit, leadership style alignment, and the strategic partnership you can offer as an operational anchor.

If you are a proactive, systems-focused executive assistant ready to transform visionary strategies into operational excellence, we want to hear from you. Apply now to play a pivotal role in the growth and success of The Well & Co.
