Position: Executive Assistant & Digital Marketing Specialist
Working Hours: Full-Time Mon – Friday 9:00 am – 6:00 pm EST
Salary : $1,100 – $1,500 paid bi-weekly

About the Role
We’re seeking a highly organized, tech-savvy, detail-oriented, and resourceful Executive Assistant with a solid background in process management to support Taylor. This role involves understanding project flow while managing various aspects of website projects, including making updates, queueing tasks, liaising with clients, ensuring accuracy, and implementing client feedback while maintaining a strong focus on project quality and timely completion
Role Responsibilities:
- Client Feedback: Implement client feedback efficiently, understanding what should vs should not be executed while identifying tasks that need escalation to others for execution.
- Website Updates: Add team member bios to client websites, ensuring information is complete, images are formatted correctly (e.g., background removal via Canva), and SEO information is included. Other edits may include updating phone numbers, addresses, and other details across all pages of a website.
- Asset Management: Gather and compile website assets (e.g., images, content, logos, files) in an organized manner to be shared with developers. Ensure completeness of content being shared with developers to aid in a seamless development process. Ability to identify missing assets and communicate with clients to gather them.
- Design & Assets: Appreciation for design and ability to compile stock images that align with brand guidelines and target audience. Ability to make minor adjustments on websites while ensuring the adjustments align with the style and designs already created.
- Content & SEO Updates: Upload blog posts, source stock images, update buttons and CTAs, implement changes based on user journey revisions, and ensure SEO elements are correctly applied.
- Technical Setup: Set up Google Analytics and Google Search Console accounts for client websites. Requires the ability to set up a VPN.
- Project Proofing: Review and proof wireframes, ensuring accuracy and identifying/fixing discrepancies for things such as capitalization and punctuation.
- SOP Development: Develop detailed and accurate standard operating procedures (SOPs) and create a playbook for managing website-related tasks and processes which can be followed by you or other team members.
- Client Communication: Respond to client emails with status updates and answers to inquiries, helping reduce the client’s inbox load. Utilize email templates and AI to adapt email responses.
- Contractor Management: Assist in putting together a contractor handbook to standardize processes.
Requirements:
- 3-5 years of proven experience in project management, executive assistant in the website development field, or a similar role.
- Previous experience with or knowledge of SEO.
- Previous experience using WordPress (ideally Elementor).
- Familiarity with other software such as Google Drive, Canva, and Project Management software (ClickUp or other).
- Native or Fluent in written and verbal English.
- Strong written communication skills with an ability to organize questions in a way that provides all the details required to answer questions quickly and accurately.
- Exceptionally organized, methodical, and detail-oriented.
- Self-sufficient yet able to collaborate effectively with Taylor and her required tasks.
- Strong accountability and ability to manage multiple tasks and deadlines.
- Resourcefulness and tech-savvy, using AI and other tools to find answers when appropriate.
- Ability to think outside the box, see the big picture (ask yourself “why” rather than “how”), and execute tasks that will make Taylor McGuckin and your job easier.
- A flexible thinker who can adapt to evolving priorities.
- Ability to complete a repeatable task from start to finish without support.
