Job Title: Executive Assistant/Diary Ninja (Remote – South Africa)

Schedule: Full-time, Monday to Friday
Job Overview
Are you an organised professional with a knack for managing schedules and streamlining operations? We are looking for an Executive Assistant, or as we like to call it, a “Diary Ninja,” to provide high-level support to our UK-based executive team. This remote role is pivotal in ensuring their time is optimally managed, and the day-to-day operations run smoothly.
Key Responsibilities
Executive Assistance
- Manage and maintain executive schedules, juggling multiple calendars with precision.
- Coordinate and organise meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, presentations, and reports on behalf of the executives.
- Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
Diary Management
- Develop a deep understanding of executive preferences to anticipate scheduling needs.
- Resolve scheduling conflicts and ensure executives are fully briefed ahead of meetings.
- Utilise calendar tools and software to optimise diary management.
Administrative Support
- Handle confidential information with discretion and integrity.
- Assist with the preparation and follow-up of executive meetings, ensuring action items are tracked and executed.
- Provide additional support to other departments and team members as required.
Qualifications and Skills
Required Experience
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Experience with diary management and scheduling for senior executives.
Key Skills
- Exceptional organisational skills and attention to detail.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Strong communication skills, both written and verbal.
- Proficiency with office software, including calendars, email, and Microsoft Office Suite.

Requirements
