Role Overview

The Operations Assistant plays a crucial role in ensuring the seamless execution of back-office processes by collaborating with the team and proactively identifying needs to maintain efficiency.

This role requires someone who is highly organized, detail-oriented, and proactive, with a strong ability to anticipate tasks and take initiative without constant direction. The ideal candidate is driven by a passion for operational excellence and enjoys contributing to a dynamic, fast-paced environment.

Key Responsibilities

Inbound Call Management:

  • Respond professionally to inbound calls that are related to billing inquiries.

Accounts Payable & Receivable

  • Monitor and ensure that automatic billing runs successfully on the 1st of each month.
  • Review billing for accuracy and resolve discrepancies proactively.
  • Contact clients regarding past-due invoices and assist in resolving outstanding balances.
  • Generate invoices and track payments to ensure timely processing.

Administrative & Operational Support

  • Maintain up-to-date client records by filing paperwork, updating CRM data, and managing essential administrative tasks.
  • Prepare forms, quotes, and documents for clients as required.
  • Ensure all client-related processes are current and compliant.

Billing Profile & Commission Management

  • Prepare and update billing profiles, ensuring they are correctly set up and ready to go live.
  • Work with the billing team to verify accuracy in account setups.
  • Assist in calculating and generating agent commissions.

Client Onboarding & Account Activation

  • Assist with onboarding new clients, guiding them through account activation and setup.

Requirements

  • 3+ Years of relevant office experience is essential.
  • Must be computer-savvy, with proficiency in Microsoft Office, especially Excel.
  • Prior customer service experience is required.
  • Strong communication skills—ability to interact professionally with both clients and team members.
  • Ability to work remotely with a reliable internet connection & power supply and a quiet workspace.
  • A fast learner who is comfortable asking questions during training and applying knowledge to improve processes.
  • Team player who contributes to a positive, supportive work environment.
